Position: Order Entry/Production Coordinator

Location: Cochrane, Ontario

Job Category: Temporary – 1 year contract

SUMMARY

Reporting directly to the Sales Manager, the Order Entry/Production Coordinator is responsible for press and finishing line coordination with sales order priorities to achieve the highest production possible, taking into account on-time shipment needs and raw material constraints. This position will ensure accurate and timely communication of production status to all stakeholders to provide a predictable experience for customers from the time they place the order until they receive shipment. Order Entry/Production Coordinator works with production personnel, customer services and sales to ensure safe and effective production and the achievement of company goals and objectives.


ESSENTIAL FUNCTIONS

  • Prepare weekly production plan based on order priorities and mill capabilities;
  • Prepares and or reviews production work orders (press schedules) for strict accuracy and compliance to order and product lay-ups, quantities, bundle sizes and species before placing into production;
  • Distributes production work orders (press schedules) to relevant work stations and communicate order priority for press and processing;
  • Responsible to communicate proper lay-up for each combination of thickness and core types to production;
  • Monitor warehouse finished goods inventory for allocation to order file and or floor stock orders and coordinate with shipping to stage the orders;
  • Coordinate with the Overlay Buyer/Order fulfillment Coordinator regarding ¼”, 3 ply material and other special requirements to produce orders;
  • Schedule and coordinate orders going to UV room for UV – monitor completion from start to finish of products to UV and consolidate them to balance of the order to schedule for shipping. Coordinate with shift supervisor when breakdown occurs and availability of workers in the UV room;
  • Maintains production status of each order to ensure press production flows to finished production and is ready for shipment per shipping schedule and the customer’s needs;
  • Assess completion of order at the grade line to determine if represses are needed and coordinate;
  • Coordinates with Overlay Buyer/Order Fulfillment Coordinator for overlay requirements to ensure materials are available to complete the order;
  • Maintains production schedule report and distributes to all stakeholders daily;
  • Update daily reports including trucks shipped, products pressed, trucks to be shipped and products to be pressed;
  • Supports production to resolve any manufacturing issues and assists the Manufacturing Team with revisions and improvements to manufacturing methods and procedures;
  • Works with quality control, and Overlay Buyer/Order Fulfillment Coordinator to resolve quality issues.
  • Coordinate with and respond to emails and communications from sales team;
  • Main point of contact for plywood employee sales, allocate and coordinate with shipping to prepare orders in accordance with first come first serve basis and product availability;
  • Shared responsibility of finished goods panel inventory management and co-ordination of;
  • Responsible for stock core inventory (MDF, Particle Board, etc.) counts and accuracy as well as supplying info to appropriate stakeholder of what is reserved and what is required to be ordered for fulfillment of future orders;
  • Will be required to perform physical counts on finished goods and overlay veneer during month end periods;
  • Participate in planning/scheduling and other required meetings;
  • Perform work in accordance with company policies, The Occupational Health and Safety Act and the applicable environmental laws;
  • Assist team members with overlapping tasks;
  • Assist team members when others are on vacation or absent;
  • Perform other duties and special projects as assigned.

CROSS TRAINING REQUIREMENT:

  • The position of Order Entry/Production Coordinator must be cross trained with the Finishing & Shipping positions as well.

KNOWLEDGE, SKILLS, AND ABILITIES (MINIMUM QUALIFICATIONS):

  • Minimum 3 years of experience in a manufacturing and continuous process environment preferably in the plywood industry;
  • Ability to work as part of a team, self-motivated, and able to interface with all levels of management and hourly production employees in a unionized environment;
  • Must have excellent analytical, written and verbal communication skills;
  • Strong organization skills;
  • Must have strong safety program knowledge and experience including The Occupational Health and Safety Act and applicable environmental laws;
  • Demonstrate ability to drive production, minimize costs and/or profitability;
  • Proficient in standard desktop software, experience with Excel, Outlook, Word and databases considered a required asset and demonstrate ability to learn new software’s;
  • Ability to work independently, handle multiple projects and be accountable;
  • Must be legally eligible to work in Canada.

PHYSICAL DEMANDS / WORK ENVIRONMENT:


  • Manual and finger dexterity as required to perform daily job duties;
  • Ability to occasionally lift, carry, push and/or pull up to 50 pounds;
  • Ability to walk and/or stand for prolonged periods of time;
  • Ability to sit bend, squat and/or stoop, reach, climb and/or crawl, including the use of stairs;
  • Works near or around moving mechanical parts, near or around electricity;
  • Exposed to a high level of noise in the work environment;
  • Exposed to smoke, fumes or airborne particles;
  • Exposed to outside weather conditions, including variations in temperature and precipitation;
  • Works near or around high and low temperatures;
  • Works near or around computer screens, photocopiers and florescent lighting.
